Queen City Baseball League – Refund & Rainout Policy
No‑Refund Policy
Queen City Baseball League follows nationally and regionally accepted policiesused by major amateur baseball organizations. In alignment with these standards:
After schedules are released, there are no refunds.
Refunds are not issued for forfeits, no‑shows, or team withdrawals after schedules are posted. Teams that withdraw before schedules are released may receive a refund.
Scheduling requires advance commitments for fields, officials, staffing, and operational resources. These expenses are incurred prior to gameplay, making refunds impossible once schedules are posted. By completing registration, teams acknowledge and agree to this policy.
Rainout / Weather Policy
Queen City Baseball League uses weather‑related procedures consistent with the general industry practices, prioritizing fairness, safety, and the ability to complete events whenever possible.
Because refunds are not issued once schedules are released, weather‑impacted events will receive future event credits based on the number of games started:
Credits Based on Games Started
0 Games Started: Teams receive a 75% credit toward a future Queen City Baseball League event.
1 Game Started or Completed: Teams receive a 50% credit toward a future event.
2 Games Started or Completed: No credit is issued, as the event is considered official.
Event Adjustments
If weather impacts play, the league may adjust the schedule using widely accepted tournament practices, including:
Shortened game times
Modified formats
Compressed brackets
Seeding‑based championship decisions if fields become unplayable
Safety First
Games may be delayed, suspended, or canceled due to lightning, unsafe field conditions, or severe weather. All decisions prioritize player safety and follow commonly accepted amateur baseball standards.
Registration Guidelines
To reserve a spot in any Queen City Baseball League (QCBL) event, payment must be submitted at the time of signup. Payment is the only method of confirming participation—no exceptions. Once payment is received, teams will be added to the participation spreadsheet at the bottom of this page. Please allow 48–72 hours for updates.
Deadline to sign up is Sunday at 5:00 PM, two weeks prior to each event, to allow for proper field scheduling and umpire assignments.
In the event of a rainout, a cancellation or delay notice will be emailed to all coaches by 7:30 AM.
Processing fees will only be refunded if cancellation occurs within 10 days after payment.
Time‑of‑play requests may be considered but cannot be guaranteed.
