Queen City Baseball League – Refund & Rainout Policy
Queen City Baseball League follows nationally and regionally accepted policies used by major amateur baseball organizations. These standards prioritize fairness, safety, and operational consistency across all events.
Refund Policy
No refunds are issued for any reason.
This includes team withdrawals, forfeits, no‑shows, scheduling conflicts, or any other circumstance.
Scheduling requires advance commitments for fields, officials, staffing, and operational resources. These expenses are incurred prior to gameplay, making refunds impossible.
Processing Fee Policy
Processing fees are non‑refundable once payment is submitted, regardless of withdrawal, cancellation, or weather‑related impacts.
Rainout / Weather Policy
Because refunds are not offered, weather‑impacted events receive future event credits based on the number of games started:
0 Games Started: 75% credit toward a future Queen City Baseball League event
1 Game Started or Completed: 50% credit toward a future event
2 Games Started or Completed: No credit issued; the event is considered official
Possible Event Adjustments
To complete play when weather disrupts the schedule, QCBL may use standard tournament practices, including:
- Shortened game times
- Modified formats
- Compressed brackets
- Seeding‑based championship decisions if fields become unplayable
Safety First
Games may be delayed, suspended, or canceled due to lightning, unsafe field conditions, or severe weather. All decisions prioritize player safety.
To reserve a spot in any Queen City Baseball League (QCBL) event, payment must be submitted at the time of signup. Payment is the only method of confirming participation—no exceptions. Once payment is received, teams will be added to the participation spreadsheet at the bottom of this page. Please allow 48–72 hours for updates.
Deadline to sign up is Sunday at 5:00 PM, two weeks prior to each event, to allow for proper field scheduling and umpire assignments.
In the event of a rainout, a cancellation or delay notice will be emailed to all coaches by 7:30 AM.
Time‑of‑play requests may be considered but cannot be guaranteed.
